Office Policies

Therapy Appointments

  • CTI works very hard to respect your time by scheduling appointments well in advance. We also ask that you respect our time by honoring your appointment. Please provide a minimum of 24 hours notice if you are unable to make your appointment.
  • Understanding that emergencies do occur, if less than 24 hours notice is provided, you will be charged a nominal $35 fee for the missed appointment. Please be aware that these charges are not billable to your insurance company.
  • Please be aware that we reserve your time for you. If there is no notice given, you will be charged the full amount of the treatment session. Please be aware that these charges are not billable to your insurance company.
  • Finally, unless other arrangements are made via a Financial Agreement, if there are two successive appointments missed (regardless of whether or not 24 hours notice is given), we reserve the right to cancel the remainder of your scheduled appointments. You may then be asked to call the week prior to reserve your next appointment.

Comprehensive Occupational Therapy Assessment & Psycho-Educational Assessments Scheduling Policies

  • CTI works very hard to ensure that you receive the highest quality assessment. In order to do this, we reserve your assessment time in advance.
  • Please be aware of our assessment policies:We require a deposit to reserve your assessment appointment. If this appointment is kept, the full deposit is applied to your assessment.
  • We require 48 hours notice if you are unable to keep your assessment appointment.
  • If you cancel within 48 hours and wish to reschedule your appointment, the deposit will be applied to your newly scheduled assessment appointment.
  • If you cancel within 48 hours and do not wish to reschedule your appointment, one-half of the deposit will be kept as an administrative fee.
  • If you cancel within less than 48 hours and wish to reschedule your appointment, one-half of the deposit will be applied to your assessment appointment; one-half will be kept as an administrative fee.
  • If you cancel within less than 48 hours and do not wish to reschedule your appointment, the full deposit will be kept as an administrative fee.

CTI Insurance and Financial Policies

San Diego Regional Center (SDRC) Clients:

CTI is an occupational therapy and speech and language therapy vendor for SDRC. Please contact your SDRC case manager and let them know that you would like therapy services provided at CTI. CTI bills SDRC directly for services provided. For the SDRC website, click: www.sdrc.org

TriCare/TriWest:

  • CTI is considered an In-Network provider TriCare/Triwest.
  • TriCare/TriWest prime patients must contact their physician’s to receive a prescription and pre-authorization prior to receiving therapy services. It typically takes 3-5 business days after TriCare/TriWest has been notified by the physician’s office for our office to receive the authorization.
  • TriCare/TriWest standard patients may self-refer; however, in order to ensure coverage, it is recommended that you also receive a prescription and pre-authorization prior to receiving therapy services. It typically takes 3-5 business days after TriCare/TriWest has been notified by the physician’s office for our office to receive the authorization. You will be responsible for you deductible and co-pay at the time services are rendered.
  • You may self-pay to receive additional, non-billable services at CTI (e.g., parent training). In addition, if TriCare/TriWest does not allow additional services for medical necessity, you may receive additional services at CTI. However, in order to receive any of these services, you must sign the appropriate waiver that we will provide for you at the time services are rendered.

 

All Other Patients:

  • CTI is considered an Out of Network PPO provider for all other insurance companies.
  • Out of Network patients may pay by a variety of payment options. CTI will discuss these options with you prior to or upon commencement of treatment.

Please be aware that payment is due at the time services are rendered unless other financial arrangements are made prior to the service being rendered.

  • In order to seek reimbursement from your Out of Network PPO insurance company, upon request, CTI will provide you with a once a month invoice to send to your insurance company.
  • Upon request and as able, we may be able to bill your out-of-network PPO insurance company. However, please be aware that you are ultimately responsible for all charges incurred at CTI.

Commonly Asked Questions:

1. Do we need a referral from our physician to come to CTI for occupational therapy services?

CTI does not require that you have a medical doctor refer you for services. However, if you would like to bill your insurance company, it may be necessary that you obtain one. Patients will often obtain a medical referral so that they have one on file if it is needed.

Insurance companies differ regarding the need to obtain preauthorization for services, the number of visits they will cover in a given time period, and whether they require periodic re-evaluations. The patient/parent is responsible for keeping track of these requirements. While CTI can help you make insurance inquiries, we are not responsible for keeping track of this information.

2. Will you bill my insurance company automatically? 

CTI will bill TriCare/TriWest.

For all other insurance providers, upon request, CTI will provide you with an invoice.

Upon request, and as able, CTI may bill your private pay insurance (PPO).  Please be aware that you are responsible for all deductibles, co-pays, and unpaid claims.
